Quick start
- Go to Sign in and choose Continue with Google or Continue with Microsoft. New or returning, it's the same button, and there's no password to create.
- The first time, confirm your organization's name and your own name on the Welcome to TruePyramids step and choose Continue. (Invited by a colleague? You'll be asked to join their organization instead.)
- Your initials, top right, open the account menu: switch organizations, answer invitations, open Settings, or Sign out.
- To change your name or turn off getting-started emails, open Settings › Your profile.
- Finished on a shared computer? Choose Sign out — it signs you out of TruePyramids on every device — and sign out of Google or Microsoft too.
Signing in
TruePyramids uses the Google or Microsoft account you already have. There's no separate sign-up and no TruePyramids password: we never see or store a password at all. The sign-in page says it plainly: “New or returning, use the same button.”
- Continue with Google works with Gmail and Google Workspace accounts.
- Continue with Microsoft works with Microsoft 365 work and school accounts, and with personal Outlook.com, Hotmail and Live accounts.
If one of them is ever unavailable, the sign-in page says “Google sign-in isn't set up yet. Use the other button, or try again later.” (or the same for Microsoft).
Your first sign-in
The first time you sign in, we create your TruePyramids account and then either:
- Create your organization — the Welcome to TruePyramids step asks you to confirm your organization's name, your first and last name and your email, all filled in from your sign-in where we can. Choose Continue. See Your first organization.
- Join one you were invited to — if a colleague invited your email address, you see Join <their organization>? instead. See Joining an organization.
After that, every sign-in goes straight to your dashboard, in the organization you used last on that browser — unless an invitation is waiting for you, which is offered first.
Note: Finish the Welcome or Join step within 20 minutes of signing in. After that, we ask you to sign in again before saving anything.
Google and Microsoft: one account
If you sign in with Google one day and Microsoft the next, using the same verified email address, it's the same TruePyramids account: we add the second sign-in to it, and you see the same organizations. Settings › Your profile shows which you use, for example “Signs in with Google and Microsoft”.
A sign-in with a different email address is a different TruePyramids account, with its own organizations. So is one whose email the provider doesn't confirm as verified; see When an email counts as verified.
What we get from Google or Microsoft
The sign-in page says: “We ask your provider for your name, email address and organization. We never see your password.” In detail:
| Provider | What it tells us | What we use it for |
|---|---|---|
| Your name, email address, whether the email is verified, an ID for your Google account, and for Google Workspace accounts your domain | Your account; the domain only prefills the organization name on your first sign-in | |
| Microsoft | Your name, email address, an ID for your Microsoft account, the directory your account belongs to, and for work and school accounts your organization's name (Microsoft asks you to let us read your basic profile for this) | Your account; the organization's name only prefills the organization name on your first sign-in |
We keep your name, your email, whether it's verified, the ID of each Google or Microsoft account you sign in with, the organizations you belong to and your role in each, and when you last signed in. We don't keep the access tokens Google or Microsoft give us, or anything else they send. See What we keep.
Your profile
Open Settings › Your profile (account menu › Settings). Everyone can edit their own profile, whatever their role.
- First name and Last name
- Both are required. They start from your first sign-in; after that, this is the only place they change — we don't update them from Google or Microsoft. Choose Save and you'll see Saved.
- The address from your first sign-in. It can't be changed here; see Changing your email.
- Email tips
- “Four short emails in your first two weeks to help you get started.” Untick it and choose Save to stop them. Invitations and notices about your pyramids and CRM syncs come either way. See Emails we send.
- Signs in with
- The providers you've used (Google, Microsoft or both) and your email.
- Sign out everywhere
- Ends every TruePyramids session you have; see below.
Your name shows in the account menu (as your initials), in your teammates' Team list, in invitation emails you send, beside CRM connections you made, and wherever you're chosen as a gift officer. A change shows for you straight away and for teammates on their next page.
The account menu
Choose your initials at the top right of any app page. Beside them is the name of the organization you're in. The menu holds:
- Organizations
- Only when you belong to two or more. Choose one to switch to it; see Switching between organizations.
- New organization…
- Create another organization that you own; see Creating another organization.
- Invitations
- Only when someone has invited you and you haven't joined yet: Join <organization>. See invitations in the account menu.
- Settings
- Your organization's settings and your profile.
- Sign out
- Signs you out on every device; see Signing out.
Staying signed in
Once you sign in, you stay signed in on that browser while you keep using TruePyramids. A sign-in lasts up to 14 days and is extended as you use the app. You'll be asked to sign in again when:
- you, or you on another device, sign out;
- you go 7 to 14 days without using TruePyramids (exactly how long depends on when you last used it; see Session timing, exactly);
- you quit your browser (some browsers that reopen your tabs keep you signed in);
- you're removed from your only organization, or it's deleted.
Each browser and device has its own sign-in.
Signing out
Choose Sign out in the account menu. You go back to our home page, and every TruePyramids session you have — on this browser and on every other device — ends. Other devices find out on their next page and go to the sign-in page.
Tip: Signing out of TruePyramids doesn't sign you out of Google or Microsoft. On a shared or public computer, sign out of your Google or Microsoft account too; otherwise the next person could choose Continue with Google and be signed straight in as you.
Sign out everywhere
Settings › Your profile has a Sign out everywhere button: “Signs you out on this device and every other one.” Use it when you've signed in on a computer you no longer have access to, or a device is lost. It does the same as Sign out in the account menu: every session ends, in every organization, and you land on our home page.
To keep your account safe, also secure your Google or Microsoft account — that's what actually signs you in.
Emails we send
We send only the email the service needs, plus a short series of getting-started tips you can turn off. We don't send marketing email, and no email we send contains donor data.
| Who gets it, and when | Sent from | Can you turn it off? | |
|---|---|---|---|
| Getting-started tips (four) | New people, in their first two weeks | support@truepyramids.com — replies reach our team | Yes |
| Invitation | Someone an owner invites | DoNotReply@truepyramids.com | No |
| “Your pyramid is ready” | You, when a build you started finishes after you left its page | DoNotReply@truepyramids.com | No |
| “Sync didn't finish” | Whoever connected a CRM, when a scheduled sync fails | DoNotReply@truepyramids.com | No |
| Payment receipts | Your organization's billing contact at Stripe, when Plus is paid | Stripe | Not in TruePyramids |
Emails from DoNotReply@truepyramids.com show as “TruePyramids”; replies to them aren't read, so each one says who to ask instead. For anything else, write to support@truepyramids.com.
Getting-started tips
Everyone new to TruePyramids — including teammates who join by invitation — gets up to four short emails, counted from their first sign-in. Each after the first is skipped when you've already done what it suggests in any of your organizations.
| When | Subject | Skipped when one of your organizations… |
|---|---|---|
| Within minutes of your first sign-in | Welcome to TruePyramids | — (never skipped) |
| Day 2 | Build your first gift pyramid | already has a pyramid of any kind |
| Day 5 | Add your giving history | already has a gift upload (one that didn't fail) or a connected CRM |
| Day 10 | What Plus adds | already has Plus |
- The day 2, 5 and 10 emails go out on weekdays between 9 AM and 5 PM US Eastern time, so one that falls due on a weekend arrives on Monday.
- They only go to a verified email address, and only while Email tips is on.
- If more than one is due at once — say you turned tips off for a while and back on — only the latest is sent.
- Nothing is sent after your first 14 days, and the series stops if you no longer belong to any organization.
Invitation emails
When an owner invites you, we email a link to join, naming who invited you and the organization. Only your email address can use it. See The invitation email.
“Your pyramid is ready” emails
Pyramids build live while you watch, so usually there's nothing to email. If you leave a pyramid's page before its build finishes, we email you “Your pyramid is ready: <pyramid name>” with a link to open it. The rules:
- It goes to whoever started the build: the person whose page started it, or for a build that follows an upload or a CRM pull, the person who uploaded the file or asked for the pull.
- Only if you aren't on the pyramid's page when it finishes. We wait a few seconds first, in case your page is just reloading.
- Once per build. Never for a build that failed, one a newer build is replacing, or a gift pyramid without gift data.
- Never for Sync now or a scheduled sync — those rebuild every pyramid from the CRM at once.
- Only while you're still on the organization's team.
“Sync didn't finish” emails
When a scheduled CRM sync (part of Plus) fails, we email the person who connected that CRM: “<CRM> sync didn't finish for <organization>”, with the reason and a button to Open Settings › Data. Your pyramids keep their last good data. We email once per run of failures — not again until a sync succeeds or someone reconnects — and only while that person is on the team. Problems with Sync now or Refresh aren't emailed; they show on the page. See Scheduled sync.
Receipts and billing
Plus is paid through Stripe, which sends payment receipts. Card details, invoices and receipts are in Manage billing; see Plus plan and billing. Our Terms of Service and Privacy Policy also say we'll email the owner before significant changes to them or to Plus prices.
Unsubscribing
You can turn off the getting-started tips three ways:
- Choose Unsubscribe at the bottom of any tip. A page asks “Unsubscribe from email tips?”; choose Unsubscribe and you'll see “You're unsubscribed”. You don't need to be signed in.
- Use your mail app's own Unsubscribe button, if it shows one. That unsubscribes you in one click.
- Untick Email tips in Settings › Your profile and choose Save.
Changed your mind? Tick Email tips again. Invitations, “your pyramid is ready” and sync failure emails can't be turned off, because they're about something you or your team did. If an unsubscribe link says “This unsubscribe link doesn't work”, it was probably cut short when copied; open it again from the email or use Settings.
Changing your email
There's no way to change your email address in TruePyramids. We recognize you by your Google or Microsoft account, not by your email, so:
- If your address changes at Google or Microsoft, you still sign in to the same TruePyramids account, but the email we show stays the one from your first sign-in.
- If you sign in with a different Google or Microsoft account, that's a separate TruePyramids account.
If you need your email changed — for example your organization moved to a new domain — email support@truepyramids.com.
Deleting your account
To delete your account itself — your name, email and sign-ins — email support@truepyramids.com, as our Privacy Policy describes. There's no button for it in the app.
Your organizations' data is separate from your account. Before you ask:
- If you're a member, the organization's data stays with the organization; ask the owner to remove you if you're leaving.
- If you're the owner and the organization is no longer needed, delete everything. If it should carry on without you, see Changing the owner.
Advanced: accounts, sign-in and sessions in detail
When an email counts as verified
- Google: when Google says the address is verified.
- Microsoft personal accounts (Outlook.com, Hotmail, Live): always.
- Microsoft work and school accounts: only when the organization's Microsoft setup confirms it owns the email's domain.
- On the Welcome step you can type a different email over the one from your sign-in. A typed-over address is never verified.
An unverified email still lets you sign in and use TruePyramids, but three things need a verified one: invitations can't be matched to it, a sign-in through the other provider with the same address isn't joined to your account, and the getting-started tips aren't sent.
Session timing, exactly
- Your sign-in carries an expiry 14 days ahead. When you use TruePyramids after more than half of that has passed, it's renewed for another 14 days. So someone who uses it every week stays signed in; someone who's away for two weeks signs in again.
- The sign-in cookie lasts for your browser session, so quitting the browser can end it sooner, depending on how your browser restores sessions.
- Every page you open is checked against your account. Signing out anywhere changes a stamp on your account, and any session carrying the old stamp ends on its next request.
- Being removed from an organization doesn't sign you out: your next page moves to another organization you belong to, or signs you out if there's none.
The 20-minute sign-in step
Between Google or Microsoft sending you back and you finishing the Welcome or Join step, your sign-in is held in a short-lived cookie that lasts 20 minutes and doesn't extend. If it runs out, you're sent back to the sign-in page; nothing was saved yet, so just sign in again.
Cookies
We use only cookies the site needs to work, and no advertising or tracking cookies. The ones that matter for your account:
- one that keeps you signed in;
- one that remembers which organization you used last on this browser, for up to a year;
- one used for up to 20 minutes while you sign in with Google or Microsoft;
- one that protects forms from being submitted by other sites.
See the cookies section of our Privacy Policy.
Questions
Do I need a TruePyramids password?
No. You sign in with Google or Microsoft, and we never see or store a password.
How do I sign up?
Just sign in. The first sign-in creates your account and your organization (or joins one you were invited to).
Can I sign in with Apple, or with just an email address?
No. TruePyramids offers Google and Microsoft sign-in only. Any email address with a Google or Microsoft account works, including personal ones.
Can I use Microsoft one day and Google the next?
Yes, if both use the same verified email address — it's one account. With different addresses they're separate accounts.
Why was I signed out on my other computer?
Because you, or someone signed in as you, chose Sign out or Sign out everywhere somewhere. Signing out ends every session you have, on every device.
Why do I have to sign in again?
A sign-in lasts up to 14 days and is extended while you use TruePyramids. You'll also need to sign in again after quitting your browser (in some browsers), after signing out anywhere, or if you were removed from your only organization.
I signed in with the wrong Google or Microsoft account. What now?
Choose Sign out, sign out of that account at Google or Microsoft (or choose a different account when they ask), then sign in again. If the wrong account already created an organization you don't need, its owner — that account — can delete everything.
How do I change my name?
In Settings › Your profile: edit First name or Last name and choose Save.
I changed my name at Google or Microsoft. Why didn't TruePyramids update?
We only read your name at your first sign-in. After that, change it in Settings › Your profile.
How do I stop getting emails?
Turn off Email tips in Settings › Your profile, or use Unsubscribe in any tip. That stops the getting-started series. Invitations, “your pyramid is ready” and sync failure emails still come.
Why did I get a “your pyramid is ready” email?
You started a build — by building or changing a pyramid, uploading a file or refreshing from a CRM — and left the pyramid's page before it finished. Stay on the page and you won't get one.
I was told I'm invited, but I have no email. What do I do?
Sign in with Google or Microsoft using the invited address: the invitation is offered as soon as you sign in, email or not. If it isn't, see this question on the team page.
How do I change the email I sign in with?
You can't in the app. Email support@truepyramids.com.
How do I delete my account?
Email support@truepyramids.com. If you own an organization, decide first whether to delete it or hand it over.
