Organizations

What an organization holds, creating more than one, switching between them, renaming, and deleting everything.

Quick start

  1. Your first sign-in creates your organization: confirm its name on the Welcome to TruePyramids step and choose Continue. You're its owner.
  2. Everything you build from then on — uploads, pyramids, campaigns, CRM connections — belongs to that organization and is shared with its team.
  3. Work with more than one nonprofit? Open the account menu (your initials, top right), choose New organization…, enter the name and choose Create organization.
  4. Switch between organizations from the same menu: the Organizations list appears once you belong to two or more.
  5. To rename an organization, open Settings › Organization (owners only). To see who's on it, look at Settings › Team.

What an organization is

An organization is a separate workspace for one nonprofit. It has its own data, its own team, its own plan (Free or Plus) and its own settings, and nothing in it is visible from any other organization. Most people only ever need one. Consultants, federated nonprofits and people who volunteer for a second cause can have several, and switch between them.

The organization's name shows in the header next to your initials, on your pyramids and in your exports, so you always know which workspace you're in.

What belongs to an organization

Belongs to the organizationDetails
Uploads and CRM pullsEvery gift file, asks file and pull from a CRM, with the gifts, kept details and capacity ratings read from them.
PyramidsGift pyramids (with their scenarios, prospect rules and prospect plans), donor pyramids, True Pyramids and their history.
CampaignsEach campaign and its priorities.
CRM connectionsOne connection per CRM, with its schedule.
TeamThe owner, the members, their portfolio sizes and pending invitations.
PlanFree or Plus, the AI requests used this month, billing, and the organization's own AI key if the owner added one.
SettingsThe organization's name and its Pyramid defaults.

What belongs to you, not the organization, is your account: your name, your email and the Google or Microsoft sign-ins you use. Your account can belong to any number of organizations. See Your account and sign-in.

Kept apart from every other organization

Each organization's data is stored in its own section of our database, and every request is checked against your membership. When you switch to another organization, the pyramids and uploads of the one you left simply aren't there — open a link to one of them and you'll get “not found” until you switch back.

Note: Plus belongs to an organization, not to a person. If one of your organizations has Plus and another doesn't, Plus features are only on in the first one. The same goes for an AI key the owner adds: it works only in its own organization. See Plus plan and billing.

Creating an organization

Your first organization

There's no separate sign-up. The first time you sign in with Google or Microsoft, we show the Welcome to TruePyramids step — always, even when we already know your organization's name — so you can confirm everything before it's saved:

  • Organization name. With a Microsoft work or school account, we fill it in from your organization's Microsoft directory and mark it From Microsoft; check it, because directories often hold a legal or shortened name. With a Google Workspace account, Google only shares your domain (like riversidefoodbank.org), so we put that in for you to replace with your organization's real name. With a personal account (Gmail, Outlook.com, Hotmail) the field starts empty.
  • First name, Last name and Email, filled in from your sign-in.

Choose Continue. We create the organization, make you its owner, and open Which pyramid do you want to build? so you can start right away.

Tip: Were you invited by a colleague? Then your first sign-in asks Join <their organization>? instead of creating a new one. See Joining an organization.

Creating another organization

  1. Open the account menu (your initials, top right) and choose New organization…. It's there even if you only have one organization.
  2. Enter the Organization name.
  3. Choose Create organization, or Cancel to go back.

You become the new organization's owner, and it opens straight away on an empty dashboard, as if you'd switched to it. Your profile carries over, so we only ask for the name. Your other organizations, and your role in each, don't change.

Example: a consultant with two clients

Jordan is a fundraising consultant. She signed in with Google and created Hillside Shelter on her first visit. When a second client, Lakeside Arts, hires her, she chooses New organization… and creates Lakeside Arts. She owns both, each with its own uploads, pyramids and team. Lakeside's development director, invited by Jordan, sees only Lakeside Arts — never Hillside Shelter's donors.

If Lakeside Arts already used TruePyramids, Jordan would instead ask their owner to invite her; she'd join as a member and keep Hillside Shelter too.

Switching between organizations

Once you belong to two or more organizations, the account menu shows an Organizations list, in alphabetical order, with a check beside the one you're in. Choose another to switch: you land on that organization's dashboard, and the header shows its name.

Switching affects every tab you have open in that browser, because they share one sign-in. Pages you already had open still show the old organization until you reload them.

Careful: If you switch organizations in one tab, a form you left open in another tab won't save — it was opened for the other organization, and we refuse it rather than save into the wrong one. Reload the page and make the change again in the organization you're in now.

Which organization opens when you sign in

Your browser remembers the organization you used last (for up to a year), and your next sign-in on that browser opens it — as long as you're still a member. Otherwise, or on a new browser, you start in the organization you joined first. Invitations waiting for you are offered before any of this; see Joining an organization.

Renaming an organization

Only the owner can rename an organization.

  1. Open Settings › Organization.
  2. Change Organization name (up to 200 characters).
  3. Choose Save. You'll see Saved.

The new name shows straight away for you, and for your teammates on their next page — nobody has to sign in again. It's used in the header, on pyramids and exports, in invitation emails you send from now on, and in the account menu of everyone who belongs to more than one organization.

Members see the name with the note “Only the owner can change it.” Below the name, Settings lists the owner (or owners).

Organization settings at a glance

Everyone on the team can open Settings (account menu › Settings) and see every section. What each person can change depends on their role:

SectionWhat's in itWho can change it
OrganizationThe organization's name and its owner. The owner.
PlanFree or Plus, AI requests used this month, billing, and Your own AI key.Any member can upgrade, open Manage billing or turn a cancelled Plus back on. Only the owner can cancel Plus or add, replace or remove the AI key. See Plus plan and billing.

DataConnected CRMs, every upload and pyramid with Delete, and Delete everything.Any member can connect and sync CRMs and delete what they added; the owner disconnects CRMs, deletes anything, and can delete everything. See Deleting data.

Leaving an organization

There's no Leave button. A member leaves by asking the owner to remove them in Settings › Team; see Removing someone. Being removed from one organization doesn't affect any other organization you belong to.

The owner can't remove themselves, and there's no way in the app to make someone else the owner. If you're the owner and you're moving on, email support@truepyramids.com before you go. If the organization itself is no longer needed, delete everything instead.

Delete everything

Delete everything permanently deletes the whole organization: its data, its team and its plan. Only the owner sees it, at the bottom of Settings › Data. Use it when an organization was created by mistake, when a consulting engagement ends, or when your nonprofit stops using TruePyramids.

Careful: This can't be undone. Export anything you want to keep first — see Exporting your data.

  1. Open Settings › Data and scroll to Delete everything.
  2. Read what it says, then type the organization's name in Type the organization name to confirm.
  3. The Delete everything button unlocks once the name matches. Choose it.

What's deleted, and what isn't

DeletedNot deleted
  • Every upload and CRM pull, with all their gifts, details, capacity ratings and asks, and any file still in storage
  • Every gift pyramid, donor pyramid and True Pyramid, with scenarios, prospect plans, builds and history
  • Every campaign
  • CRM connections and their stored credentials
  • Pyramid defaults
  • The team and every pending invitation
  • Every rating and piece of feedback given in the organization, including ratings shown on our home page
  • The organization's AI key and AI request counts
  • The Plus subscription, which is cancelled
  • Your account and your teammates' accounts (names, emails, sign-ins)
  • Your and your teammates' other organizations
  • Anything in your CRM — connections only ever read from it
  • Billing records Stripe keeps as the law requires

Everyone else on the team loses access on their next page: they move to another organization they belong to, or are signed out if they have none. Deleted data leaves our database backups within 7 days; see How long we keep things.

Confirming with the organization's name

The name you type must match the organization's name, but capital letters and extra spaces don't matter. For Riverside Food Bank:

You typeResult
Riverside Food BankMatches
riverside FOOD bankMatches (case is ignored)
Riverside Food Bank with spaces before, after or doubled between the wordsMatches (extra spaces are ignored)
RiversideDoesn't match
Riverside FoodbankDoesn't match (the words must be the same)

The button stays locked until the name matches, and we check it again when you submit. If it doesn't match, you'll see “That isn't the organization's name, so nothing was deleted.”

Plus and billing

If the organization pays for Plus, we cancel the subscription with Stripe first, right away rather than at the end of the period, so there are no further charges. Our Terms of Service say we don't refund partial periods unless the law requires it. If Stripe can't be reached, nothing is deleted and you'll see “We couldn't cancel Plus with Stripe, so nothing was deleted. Try again in a few minutes.”

Where you land afterwards

  • If you belong to another organization, you move to it and see “The workspace was deleted. You're now in <organization>.”
  • If it was your only organization, you're signed out and land on our home page with “Your workspace was deleted. Sign in any time to start a new one.” Signing in again takes you to the Welcome to TruePyramids step to set up a new organization (or first to any invitation waiting for you).

Your account itself isn't deleted. To delete it, see Deleting your account.

Advanced: how organizations work

Separate storage

Each organization's uploads, gifts, pyramids, campaigns, plans and history live in their own database schema, created when the organization is created. Accounts, memberships, invitations, CRM connections and plan details live in a shared area that only links people to organizations. Every page and action reads your organization from your sign-in and your role from the database, so a changed role or a removal takes effect on your very next request.

How renames and removals reach open sessions

  • A renamed organization, a renamed person or a changed role is picked up on the next page anyone opens — no new sign-in needed.
  • Someone removed from the organization they're looking at is moved, on their next page, to another organization they belong to (the one they joined first), or signed out if there's none.
  • Signing out everywhere ends every session at once, whatever organization it was in.

Forms are tied to one organization

Each form carries a security token tied to you in one organization. A rename doesn't break forms that are already open, but switching organizations does: a form opened before the switch is refused rather than saved into the organization you switched to.

The order Delete everything works in

  1. Check that you're the owner and that the typed name matches.
  2. Cancel Plus at Stripe. If that fails, stop — nothing has been deleted.
  3. In one database transaction, drop the organization's schema (every upload, gift, pyramid, campaign, plan and snapshot) and delete the organization, which takes its memberships, invitations, ratings, AI usage and CRM connections with it.
  4. Delete any of its files still in storage. If storage can't be reached at that moment, an hourly cleanup deletes files that no organization owns.
  5. Refresh the ratings shown on the home page, then move you to another organization or sign you out.

Organization names

Names are trimmed and can be up to 200 characters. They don't have to be unique — two organizations can share a name — which is one reason the switcher always shows a check beside the one you're in.

Questions

How many organizations can I have?

As many as you need; the app doesn't limit them. Each one is free, with its own optional Plus plan.

How do I know which organization I'm in?

Its name is in the header, next to your initials. In the account menu's Organizations list, it's the one with the check.

Why don't I see an Organizations list in my account menu?

It only appears once you belong to two or more organizations. With one, the menu shows New organization…, Settings and Sign out, plus Invitations when someone has invited you.

I switched organizations and my pyramid disappeared. Where is it?

In the organization you switched away from. Pyramids and uploads belong to one organization; switch back from the account menu to see it.

Can I move or copy a pyramid to another organization?

No. Organizations don't share anything. To have the same pyramid in another organization, upload the same gift file there (or connect the CRM there) and build it again.

Does Plus cover all my organizations?

No. Plus is per organization and covers that organization's whole team. Each organization is Free unless it has its own Plus plan.

Why can't I rename my organization?

Only the owner can. Members see the name read-only, with the owner's name beneath it — ask them to change it.

Why was my organization's name already filled in?

You signed in with a Microsoft work or school account, so we read your organization's name from your Microsoft directory; or with a Google Workspace account, which only gives us your domain. Either way it's a suggestion — change it before you choose Continue, or later in Settings.

I'm a member. How do I leave an organization?

Ask the owner to remove you in Settings › Team. You'll keep your account and any other organizations you belong to.

How do I hand my organization over to someone else?

There's no way to change the owner in the app. Email support@truepyramids.com before the current owner leaves.

I created an organization by mistake. How do I get rid of it?

As its owner, open Settings › Data, type its name under Delete everything and choose Delete everything. You'll move to one of your other organizations, or be signed out if it was your only one.

The Delete everything button won't unlock. Why?

The name you typed doesn't match the organization's name yet. Case and extra spaces don't matter, but every word must be there and spelled the same. Copy it from the header if in doubt.

Can Delete everything be undone?

No. Everything listed above is deleted right away, and there's no undo. Export what you want to keep first.

What happens to my teammates when I delete everything?

They lose access to that organization on their next page. Their accounts and their other organizations aren't affected; if they had no other organization, they're signed out and can start a new one by signing in.

Does Delete everything delete my account?

No. It deletes the organization, not the people in it. To delete your account (your name, email and sign-in), email us — see Deleting your account.
